PRIVACY POLICY

1. Overview

This Privacy Policy explains what information Exoloom Games (“we,” “us,” or “our”) collects through exoloomgames.com and its subdomains (the “Site”), why we collect it, and the choices you have. It covers the public marketing site, the support center (including support accounts and tickets), the knowledgebase, and the careers/job application pages. It doesn’t cover the separate staff, HR, and contractor tools we use internally to run the studio, which aren’t publicly accessible.

2. Information you provide to us

Support accounts. If you create a support account, we collect the email address and (optionally) name you give us, plus a password. Your password is handled by our authentication provider and we never see or store it in plain text.

Support tickets and replies. When you submit a ticket — with or without an account — we collect your name, email address, subject, and message. Replies you send on an open ticket are stored the same way. Ticket content is visible to our support staff so they can respond to you.

Job applications. When you apply to a role, we collect your name, email address, phone number, a resume or other file you upload, and your answers to any application questions the posting asks (which may include additional file uploads). We use this to evaluate your application and to contact you about its status.

3. Information we collect automatically

Site traffic.Like most websites, we automatically log some information every time a page loads: the page path, the referring page (if any), your browser’s user agent string, and your IP address. If you’re signed in, that log entry is also linked to your account. We use our own first-party logging for this — we don’t use Google Analytics or a third-party advertising tracker, and we don’t sell this data.

Cookies and similar technology. The Site uses a cookie to keep you signed in to your support account. Sign-in and sign-up forms also load a bot-protection widget (Cloudflare Turnstile) that may set its own cookies or use similar technology to tell human visitors apart from automated traffic; that widget only appears on those forms, and Cloudflare processes what it sees under its own privacy policy. We don’t use cookies for third-party advertising.

4. How we use your information

We use the information above to:

  • Create and maintain your support account, and respond to your support tickets
  • Review and process job applications, and email you about their status (for example, screening, interview, offer, or rejection updates)
  • Keep the Site secure and prevent automated abuse of sign-in and sign-up forms
  • Understand how the Site is used — for example, which pages get traffic — so we can improve it
  • Meet legal, recordkeeping, and hiring-related obligations

5. How we share your information

We don’t sell your personal information. We share it only with the service providers that help us run the Site, and only as needed for the purposes above:

  • Our database, authentication, and file-storage provider, which hosts support accounts, ticket data, uploaded resumes, and related records
  • Cloudflare, for the Turnstile bot-protection widget shown on sign-in and sign-up forms
  • Our transactional email provider, used only to send you job-application status emails (for example, an interview invite or an offer) if you apply to a role

We may also disclose information if required by law, or to protect the rights, property, or safety of Exoloom Games, our users, or others.

6. How long we keep information

We keep support ticket and reply history for as long as reasonably needed to maintain a record of the conversation and for internal quality purposes. We keep job application records for as long as reasonably needed to run the hiring process and to comply with recordkeeping obligations. If you close your support account, we retain past ticket history rather than deleting it retroactively, consistent with how we handle other records in this Policy — you can ask us to delete it (see “Your choices” below).

7. Your choices

  • You can update the name and email on your support account, or change your password, at any time while signed in.
  • You can ask us to delete your support account and associated data by emailing us at the address below.
  • You can ask what personal information we hold about you, or ask us to correct it, by emailing us at the address below.

Because our page-traffic logging is first-party and used only to operate and understand the Site — not for advertising — there isn’t a separate ad-tracking opt-out to offer. Declining to provide information in a support ticket or job application form just means we won’t be able to help with that request.

8. Children's privacy

The Site isn’t directed at children, and we don’t knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we’ll delete it.

9. Security

We restrict access to support, ticket, and application data to the staff who need it to do their jobs, and rely on our database provider’s row-level access controls to enforce that. No method of transmission or storage is completely secure, and we can’t guarantee absolute security.

10. Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we’ll update the “Last updated” date above.
